Agentic artificial intelligence, or "Agentic AI," refers to AI services that can perform tasks and make decisions with limited user involvement. Examples include, but are not limited to, OpenClaw and Meta Muse. Unlike a basic AI chatbot, an Agentic AI service may be able to sign in to other services, send messages, access or modify files, complete forms, or perform multi-step tasks on a user's behalf.
VIU employees and students must not provide their VIU username, password, authentication code, passkey, or other sign-in credentials to an Agentic AI service. Doing so will be treated as account sharing under VIU’s Information Security Standard. If this activity is detected, access to the affected VIU account may be revoked, and a password reset or other security measures may be required.
Privacy Risks
If connected to a VIU account, an Agentic AI could access personal information that VIU is required to protect.
Agentic AI services can build detailed profiles based on the information they collect over time. This information may include details about you as well as other people whose information appears in emails, files, calendars, messages, or other records. Those individuals may be unaware that their information has been shared with the service and may have no knowledge of how their personal information is collected, used, retained, or disclosed by the service.
Disclosure of personal information to an Agentic AI service without appropriate authorization may not be permitted under British Columbia's Freedom of Information and Protection of Privacy Act (FIPPA). It may also violate VIU policies and standards governing acceptable use of information technology, information security, account use, and the protection of personal information. To protect privacy and comply with legal requirements, Agentic AI services must not be connected to VIU accounts unless they have completed the required privacy and security review process.
Responsibility
Employees and students who use unauthorized Agentic AI remain solely responsible for any actions performed through their accounts, including actions taken by the AI service on their behalf.
Before an Agentic AI service may access a VIU account through OAuth, application consent, or another supported authentication method, the service must undergo the appropriate VIU review:
Information Technology will not authorize or enable account access until the applicable review requirements have been completed.
