The following video shows the process of adding and replacing documents

 

Replace a document

When uploading a new revision of a document, it is best practice to replace the file to ensure existing links go to the correct location.

To replace a document:

  • in the upper admin bar select 'Media'
  • use the filter that appears to find your document, setting 'Type' to 'Document' may be useful here
  • click the 'Edit' button in the far right column
  • from within the edit screen look for the 'Replace file' section
  • choose the replacement file, then save

 

Add a new document or link to an existing document

* Note that it is possible to add pdfs to VIU websites, whenever possible use a webpage to instead of a pdf for the following reasons:

  • pdfs are not generally accessible and can be difficult to navigate, especially on a phone
  • creating an accessible pdf is a intensive process
  • webpages are easy to update and do not require managing source material, recreating, and uploading like a pdf

To add a new document:

  • prepare the file on the local file system and refer to document naming conventions as needed
  • in the upper admin bar select Media > Add media > Document
  • choose the file and save
  • navigate to the page you would like to add the document and edit the page
  • enter text that will become the link to the file
  • select the text and click the link icon
  • start typing the file name of the document and find it in the dropdown (alternatively you can paste a link to the file here)
  • save the page

Troubleshooting

Issues uploading pdfs

  • Avoid the "Acrobat" Tab in Word: The PDFMaker plugin (which shows as "Acrobat" in the Word ribbon) defaults to high-compression settings that web application firewall hate
  • Use "Save As" (Native): Instead of using the Acrobat plugin, go to File > Save As > File Type: PDF. This generally produces a more "standard" structure
  • Choose "Minimum Size": In the Word "Save As PDF" dialog, select the "Minimum size (online publishing)" radio button. This often strips out the complex metadata and object streams that trigger security filters
