How do I access shared mailboxes?

Outlook 2016 (Windows)

  1. In Outlook, click File -> + Add Account
  2. Leave the Your Name field blank
  3. In the E-mail Address field, type in the shared mailbox address (e.g. department@viu.ca), then click Next
  4. You will be asked to sign in. Clear the shared mailbox's email address and type in your own (e.g. firstname.lastname@viu.ca), then click Next
  5. If you are prompted for your password, enter it, then click Sign In
  6. Click Finish
  7. You will need to close out of Outlook, and reopen Outlook before you can start using the email account. Click on the little arrow to the left of the new account to see the folders and inbox.

Outlook for Microsoft 365 (Windows)

  1. In Outlook, click File > + Add Account
  2. Type in the shared mailbox address (e.g. department@viu.ca), then click Connect
  3. Select "Exchange" as the mailbox type
  4. You will be asked to sign in. Clear the shared mailbox email, and type in your own email (e.g. firstname.lastname@viu.ca), then click Next
  5. If you are prompted for your password, enter it, then click Sign In
  6. Click Done
  7. You will need to close out of Outlook, and reopen Outlook before you can start using the email account. Click on the little arrow to the left of the new account to see the folders and inbox.

Outlook (Mac)

  1. In Outlook click on Tools -> Accounts
  2. Select your primary VIU email on the left, then click 'Advanced...'
  3. Select the 'Delegates' tab
  4. The bottom section will either say 'Open these additional mailboxes' or 'People I am a delegate for'. Below this, click on the '+' button
  5. Type in the email address you would like to add. Select the mailbox, then click 'Add'
  6. Click 'OK', then close the Accounts window
  7. Restart Outlook
  8. The mailbox should now be listed in the left folder menu

Webmail

You can switch to this account within your Webmail login. (Note: this is not the same for mobile)

  • Log into Webmail, click on the Portrait icon found in the top right corner.

  • Click on "Open another mailbox...", this will open a dialog box, type in the email address or the Display Name of the account and click the "Open" button. This will reload the page in that email account. You can use it to create Out-of-office messages and make appointments in the calendar.
