Create Second Outlook Profile for Mail Merging

What is a Mail Merge?

Mail merges allow a user to send personalized emails simultaneously to a group of recipients from a shared email account. The personalized information is usually stored in Excel or database, merged into a specially prepared Word document, and sent from Outlook. Outlook works best when we create a separate Outlook profile for mail merging.  A mail merge-specific Outlook profile should only contain the shared mailbox used in the mail merged communications.

Creating and Configuring the New Profile for Mail Merging

  1. If Outlook is open, close it
  2. Hold the Shift button and click the Classic Outlook icon
  3. On the Choose Profile box, select OptionsUploaded Image (Thumbnail)
  4. Check Prompt for a profile to be used

  5. Click on the New button
  6. Type the name of your new profile and click OKUploaded Image (Thumbnail)
  7. Type the Email Address that you want associated with the profileUploaded Image (Thumbnail)
  8. Click Connect
  9. When asked for your password, click on Sign in with another account

  10. Enter your email personal VIU email address. Click Next

  11. Enter your email Password, click Next

  12. Click Done

  13. Outlook will open with in your new profile

Now when Outlook opens, it will ask the user to select a profile. Choose the default Outlook profile for normal use; choose the new mail merge profile for mail merging.
