Ordering Staples for Managed Print Devices

Introduction

These instructions are intended for departmental admin coordinators to place replacement staple orders for Managed Print Ricoh devices. This process replaces ordering staple refills through MyRicoh.ca. Please use the following steps to order staple refills moving forward.  

How to Order Staple Supplies from Ricoh 

Departmental admin coordinators can now order their staple supplies directly from Ricoh Canada by completing a requisition through Unit 4:  

  1. Click on this link to go to Unit4.
  2. Login using your VIU computer account user name and password. 
  3. Click on the Procurement tab and select Requisitions - Standard. 

To ensure your order is processed correctly and efficiently, you will need the following information: 

  • Supplier:  202579, Ricoh Canada Inc. 
  • Delivery Contact:   Payment contact 
  • Delivery description:   Enter your mail drop location and mark it Attn: (your name) 
  • Product Code:  Office Supplies 
  • Product Text: Information for this section will be found in 2 places. The Model Type and Serial number will be found on the device itself.  
    • Model:  Found on the device   
    • Serial number:  Found on the device
    • Part number:  After finding your Model, consult the table below for the Part Number, Description, and Price required for compatibility with your Model.

Note: You can also attach a copy of the image below to the Unit4 requisition as it contains all of the data included above. Make sure your Unit4 requisition includes the Model number in question to make sure you get the right refill.

Right-click the image and choose save or copy, then attach it to your Unit4 Requisition. 

Best Practices

  • Order Before You Run Out:  Place an order when the last set of staples is installed in the device, not when it’s running low. Orders for replacement consumables like staples orders can take time to process, so ordering in advance helps avoid delays. 

  • Maintain Backup Supplies:  Ensure you always have extra staples on hand to prevent any interruptions in your work.
