Description

The Zoom for Outlook add-in allows you to add a Zoom meeting to a new or existing Outlook calendar event.
If you notice that your Zoom meeting invitations also include a TEAMS meeting link, you can change this setting. Click HERE for instructions

Zoom for Outlook can be used within the Outlook 365 desktop app, and in Outlook 365 Online.

How can I get Zoom For Outlook?

If you're using Microsoft 365, Zoom for Outlook is already available to you. Setup may be different depending on which email client you use.

Outlook Desktop App

Open Outlook.
Create a new Appointment or Meeting using any of the typical methods.
Within the new Appointment or Meeting window click on the Gear in the Zoom section of the Ribbon.
If you are not already signed in, this will automatically load this VIU Sign in page.
Login using your VIU credentials.
Once logged in, click on the "Settings" button (Gear Icon) in the Zoom section of the Ribbon.
Here you can set up the parameters of your zoom meetings. It is recommended that you customize this section as needed prior to adding the meeting. Once you've added a Zoom meeting, you can only make changes in the Zoom app or web interface.
Once your settings are adjusted, you can add a Zoom Meeting to your Outlook calendar entry by clicking the "Add a Zoom Meeting" button within the Zoom section of the Ribbon.

Outlook Online

Go to portal.office.com, and log in with your VIU email and password.
On the left side toolbar, click on 'Outlook'
Once Logged in, click on the Calendar in the left sidebar.
Click 'New Event'.
In the menu Ribbon at the top of the Event popup, look for a Zoom dropdown button.
Click the Zoom dropdown and select Settings.
When prompted with "Zoom wants to display a new window", click Allow.
A Popup window will open with this VIU sign in page. If necessary, sign in with your VIU email and password.
Once Logged in your New Event window will show Zoom settings option as shown below.
Here you can set up the parameters of your zoom meetings. It is recommended that you customize this section as needed prior to adding the meeting. Once you've added a Zoom meeting, you can only make changes in the Zoom app or web interface.
Once your event details are correct you can add a Zoom meeting by clicking the Zoom dropdown, then "Add a Zoom Meeting".
Click Save to add your calendar entry and Create the new Zoom entry in your Zoom account's calendar.

I already have the Zoom Outlook Plug-in

The Zoom for Outlook Plug-in was previously an option available to users, but was set up differently. The Zoom for Outlook Add-in replaces this. If you previously had the plug-in, you may need to remove it, using the below instructions.

Remove Zoom Outlook Plug-in via Software Center

Find the Uninstall Zoom Outlook Plugin entry in Software Center and click on it.
Click on Install, or repair if it is already showing a greyed out uninstall button. The greyed out option indicates this has been run previously in the past.
One of two things will happen:
- Uninstall will complete and the install button will change to a greyed out Uninstall button.
- Status will show Install or Repair failed with a popup indicating that Microsoft Outlook needs to be closed before install can be completed. Close outlook and try again.
